Create a message template

Create a message template to save reusable text for emails and texts you send from DoorSpot — for example, a check-in reminder or a maintenance follow-up — so you don't have to write it from scratch every time.

Steps

  1. Go to Communications > Templates in the left sidebar, then click Add new.

  2. Enter a Template name and, optionally, a Description to help you find it later.

  3. Turn on Email, SMS, or both under Message type to choose how the template is sent. SMS messages can't include formatting (bold, headings, or images) — plain text only.

  4. Turn Broadcast template on if you plan to use this template for mass messaging. Broadcast templates can only use generic fields — the Me and Client categories — since a broadcast goes to many contacts at once and can't pull in details specific to one guest, reservation, or unit.

  5. Optionally enter an address under Reply to if replies to this message should go to an email address other than your default.

  6. Fill in the Subject and Preheader (the short preview text shown next to the subject line in an inbox).

  7. Write the Message body. Use Heading to add a heading, or Insert Image to add an image inline.

  8. Personalize the message by inserting a dynamic field from the panel next to the message body — fields are grouped by category (Me, Client, Guest, Reservation, Unit, Property, Billing, and custom fields for units, contacts, and reservations). Each field pulls in the real value — like the guest's first name — when the message is sent.

  9. Optionally attach a file under Attachments: click Choose from existing to pick a file already stored in Documents, or Click to upload to add a new one. Files are limited to 10 MB and must be PDF, JPEG, or PNG.

  10. Click Save template.

Good to know

  • Insert dynamic fields from the panel rather than typing them by hand — only fields inserted this way resolve to real data when the template is used.

  • Attachments come from the same library as Communications > Documents, so a file you've already uploaded there can be reused without uploading it again.

  • Turning off Broadcast template lets you use any dynamic field, but the template is then only for one-to-one messages, not mass messaging.

Troubleshooting

  • Can't find Templates: It's under Communications in the left sidebar, not Bookings.

  • Template doesn't show up when sending a broadcast: Open the template and check that Broadcast template is turned on.

  • Attachment won't upload: Confirm the file is 10 MB or smaller and is a PDF, JPEG, or PNG.

  • Dynamic field is missing from the list: Turn off Broadcast template — broadcast templates only offer the Me and Client field categories.
