Add a contact

Add a client, guest, or vendor to your CRM contact list.

Add a contact to store a client, guest, or vendor's details in your CRM. Once they're added, you can start reservations, send messages, and share documents with them.

Before you begin

  • Have the contact's name ready — it's the only required field. Have their email, phone, and any company they're linked to on hand if you have it.

Steps

  1. In the left sidebar, click CRM, then click Contacts.

  2. Click Add Contact on the top right.

  3. In the Create Contact window, enter the contact's name in Name — this is the only required field.

  4. Enter an Email address, or leave it blank.

  5. Enter a Phone number, or leave it blank.

  6. Set Invoice Delivery Preference to Email or Print — this controls how the contact receives invoices. Defaults to Email.

  7. Add any Tags you want to apply.

  8. Turn on Mark as vendor (service provider) if this contact is a vendor — vendors can be assigned to service requests. Leave it off for clients and guests; there's no separate client/guest setting.

  9. Under Address (Optional), search for an address, or click Enter address manually.

  10. Fill in any fields under Custom Fields that apply — these are specific to your account's setup (see Related articles).

  11. Under Companies (Optional), search for and add a Company, toggle Primary if it's the contact's main company, and add their Title and Department at that company. Turn on any Roles that apply — Billing, Maintenance, Guest Service, or Arrival & Departure. Click + Add Company to link the contact to more than one company.

  12. Click Save. You'll see the message "Contact created successfully"

Good to know

  • Adding a client, guest, or vendor uses the same form. The only difference is the Mark as vendor toggle — turn it on for vendors, leave it off otherwise.

  • Each contact needs either a unique email or no email at all. If you try to save a contact with an email that's already in use, the contact won't be created — but you'll still see the "Contact created successfully" message, so that message alone doesn't confirm a new contact was added. Double-check the email if a save doesn't seem to go through.

  • Custom Fields vary by account — what you see under Custom Fields depends on how your account has been configured.

Troubleshooting

  • New contact not showing up, even though you saw "Contact created successfully"? The email is likely already attached to an existing contact — that message shows even when the save is silently blocked. Search CRM → Contacts for that email and update the existing contact instead of creating a new one.

  • Don't see the new contact after saving? Check your filters, or reload the page to make sure you're looking at the most up-to-date list.
