Pay a batch of bills together

Select several bills on the Payables page, save them together as a batch, then review and settle the whole batch in one step.

From the Payables page, you can select several bills and save them together as a batch, then review and settle the whole batch in one step.

Steps

  1. Go to Bookkeeping → Payables.

  2. Select the bills you want to pay together and choose Save as batch.

  3. Open the batch from Payable Batches (the Batches button on the Payables page).

  4. Choose Record a payment to log a payment made outside DoorSpot, or choose Pay to send real payments.

  5. For Record a payment: choose the account the money was Paid from, optionally set a payment method and note, then click Record payments.

  6. For Pay: choose a Payment method, choose whether payments should be made as One payment per vendor or Individual payments, choose the Account to pay from, add the required Message to recipients, then click Send payments.

Good to know

  • A batch can be settled two ways: Record a payment logs a payment you already made outside DoorSpot, applied across every bill in the batch. Pay sends a real payment through DoorSpot — choose One payment per vendor to issue a single payment covering everything owed to that vendor in the batch, or Individual payments to issue one payment per bill.

  • Mailed check is currently the only payment method for Pay — DoorSpot's own form notes that ACH and printed checks are "coming soon."

  • If your company has more than one bank account and no default is set, both Record a payment and Pay require you to pick which account the money came from or should be paid from (set a default under Settings → Accounting to skip this).

  • Each batch stays on file as a permanent record of what was paid together, even after every bill in it is paid.

  • A bill can belong to only one batch at a time. Before paying, you can remove an unpaid bill from a batch — this only takes it out of the batch, it doesn't delete the underlying bill.

  • Paying by mailed check requires a mailing address on file for the vendor.
