Editing an invoice lets you change its dates, payment terms, delivery preference, deposit account, PO number, or line items after it has already been created. Use this when invoice details need to change before the balance is paid in full.
Scope
Requires Bookkeeping access. You can edit an invoice in any status, but DoorSpot won't save a change that would lower the invoice total below the amount already paid on it.
Steps
Go to Bookkeeping → Invoices. Click Bookkeeping in the left sidebar, then click Invoices. The Invoices list opens, showing invoices for the current company.
Find the invoice. Use the search box ("Invoice #, customer, unit, item…") or the Status, Due date, and Total due filters to narrow the list, then click the invoice's row. The invoice detail panel opens on the right, showing the invoice number, status, billed-to contact, unit, dates, and line items.
Click Actions, then click Edit invoice. The panel switches to the Edit Invoice form, with Total due, Amount Paid, and Amount remaining shown at the top for reference.
Update any of the following fields, then check the totals at the top of the form:
Invoice Date and Due Date – click the field or the calendar icon to pick a new date.
Payment Terms (days) – enter the number of days after the invoice date that payment is due. Enter 0 for Due Upon Receipt.
Delivery Preference – choose Use Default, Email Only, Print Only, or Email and Print.
Billing Period Start and Billing Period End – click the field or calendar icon to change the billing period. Changing either date regenerates the invoice's line items from the reservation's fees, and any manual edits to the items will be replaced.
PO Number – enter an optional purchase order number.
Deposit Account – open Select Account to Make Payable and choose the bank account this invoice should be paid into. Without one selected, the invoice isn't payable online.
Item(s) – edit an existing item's amount, or click add item or add tax to add a new line. Subtotal and Invoice Total update automatically as you edit.
Click Save. The invoice updates with your changes, and the panel returns to view mode showing the new values. Click Cancel instead to close the form without saving anything.
Good to know
Changing the Billing Period Start or End regenerates line items from the reservation's fees and replaces any manual edits to items — make item-level changes after adjusting the billing period, not before.
The invoice total must stay greater than the Amount remaining already recorded. DoorSpot blocks a save that would leave the invoice under-billed relative to payments received.
A Payment Terms value of 0 means the invoice is Due Upon Receipt.
If no Deposit Account is selected, the invoice can't be paid online.
Troubleshooting
Save doesn't seem to take effect, or the total looks blocked. Your new total is probably lower than the Amount remaining. Increase an item's amount or add a line item so the total stays above what's already been paid.
Line items you added are missing after editing. You likely changed the Billing Period Start or End, which regenerates items from the reservation and discards manual edits. Re-add custom items after changing the billing period, not before.
Invoice isn't payable online. Open Edit invoice and confirm a Deposit Account is selected.
