Share a document with the billing party on a reservation — like a signed agreement or a move-in guide — by uploading it to the reservation and marking it public so it shows up in their client or guest portal.
Before you begin
This is separate from the company-wide document library under Communications > Documents — a file only appears in a client or guest's portal when it's uploaded to their specific reservation and marked public.
Steps
Go to Bookings > Reservations and open the reservation you want to share a document on.
Scroll to the Documents section and click Add.
In the Upload documents panel, click Click to upload or drag and drop your file, then click Save. Files are limited to 10 MB.
The document appears as a card showing its file name and upload date, with three icons: download, delete, and a lock. A closed lock means the file is private — only your team can see it.
Click the lock icon on the card to make the file public — hovering over it shows "Make your file visible to all associated users." Once public, the reservation's billing party and any associated guests can see it in their portal.
Good to know
Documents are private by default when uploaded — click the lock icon on each one to make it public before a client or guest can see it.
Click the download icon on a document's card to download it at any time.
This is a per-reservation library — a file uploaded here is only attached to that one reservation, not shared across others.
Troubleshooting
Client or guest says they can't see a file: Open the reservation's Documents section and check the lock icon on that file's card — a closed lock means it's still private.
Upload won't go through: Confirm the file is 10 MB or smaller.
