Run the Tax Collected report

Run the Tax Collected report, tie it to your GL, and view it on a cash or accrual basis.

The Tax Collected report lists every tax collected over a period you choose, with one row per tax per invoice, so the numbers reconcile directly against a return you file. Each tax type posts to its own general ledger liability account, and the report ties directly to that ledger.

Go to the report

Go to Reports > Tax Collected.

What each row shows

  • Tax — the tax name, such as State hotel occupancy tax

  • Unit and Address — the unit the charge belongs to

  • State — the unit's state

  • Invoice # and Invoice date — the invoice the tax was billed on, linked to the invoice

  • Status — Paid, Charged, Forgiven, or Voided

  • Taxable amount — the base the rate was applied to

  • Exempt — the exempted base, when a tax is exempt

  • Tax collected — the tax amount

Turn on City, GL account, Charge period, # Periods, or Rate from Customize table. GL account shows the liability account each tax posts to, in "number - name" form. Charge period, # Periods, and Rate together let you reconstruct the taxable amount from the rate and cadence.

Filter and group

Filter by invoice date, state, city, unit, tax, or status. Use the Unit filter to select whole properties or individual units. Use Summarize by to group the table by state, city, GL account, tax, or unit, with a subtotal for each group.

View on a cash or accrual basis

A basis toggle above the table switches the report between accrual (tax recognized as of the invoice date — the default) and cash (tax recognized as each invoice is actually paid, dated by the payment). Partial and multiple payments split correctly across the periods in which they were received. On the cash view, a notice appears for any unit whose imported or historical data isn't complete enough to derive the cash figures precisely.

Reconcile to GL

The Reconcile to GL panel compares the report's totals against your general ledger for the same period, broken out by GL account. For each tax's liability account it shows Collected (tax recognized against an invoice), Remitted (entries posted as that tax being paid out to the taxing authority), Outstanding (what's still owed — Collected minus Remitted), Manual entries (manual journal entries posted directly to that account), and a Ties out? column flagging whether the account reconciles once all of that is accounted for. This panel reflects accrual activity and isn't available on the cash view, since the ledger itself is kept on an accrual basis — switch back to Accrual to view it.

Export or print

Export gives you the current view as a CSV or XLSX file — the columns, filters, sort, and any group subtotals you have on screen. Print gives you the same view formatted for printing.

Good to know

  • On the accrual view, every figure is dated by the invoice; on the cash view, by the payment.

  • Voided invoices still appear, with zero tax collected, so the report always accounts for everything that was billed.

  • Exempt lines show their base in the Exempt column and zero in Taxable.
