Trigger batch invoicing

Create invoices for a batch of reservations at once instead of billing each one individually — useful for running a month's rent or recurring charges in a single pass.

Before you begin

  • The reservation's billing period must overlap with the batch's billing period, or it won't be eligible for invoicing in that run.

Steps

  1. Go to Bookings > Reservations in the left sidebar.

  2. Check the box next to each reservation you want to invoice. Once at least one is checked, an Actions menu appears above the table.

  3. Click Actions, then select Batch Invoice.

  4. In the Create Batch Invoice panel, set the Billing Period start and end dates (defaults to the current month). DoorSpot shows how many of your selected reservations will actually be invoiced — a reservation outside the billing period is marked not eligible and is skipped.

  5. Choose a Deposit Account so the invoices can be paid online, and set the Invoice Date and Due Date — each can use the billing period's start date or a custom date you pick.

  6. Leave CC me on all invoice email notifications checked (it's on by default) if you want a copy of every notification, or turn it off.

  7. Click Create Batch. The invoices are created in Pending status so you can review them before they go out — nothing is sent to a billing party yet.

  8. Go to Bookkeeping > Invoices to find the new invoices. Open one and use Actions to review and move it forward — for example, edit it, record a payment, or send it to the billing party.

Good to know

  • A reservation is only eligible for a batch if its billing period overlaps the batch's billing period — DoorSpot flags any reservation it's skipping so you're not left guessing.

  • Without a Deposit Account selected, the resulting invoices aren't payable online.

  • Pending invoices haven't gone to the billing party — they're a review step, not a final step.

Troubleshooting

  • Don't see an Actions menu: Check at least one reservation's box first — the menu only appears once a reservation is selected.

  • A reservation says "not eligible": Its billing period doesn't overlap the batch's billing period. Adjust the batch's Billing Period dates, or invoice that reservation separately.

  • Invoice isn't payable online: Open the invoice and select a Deposit Account.
