A journal entry is a direct entry to your General Ledger — a way to record or correct a transaction that doesn't come from an invoice, payment, or another automatic source. Use it to fix a wrong-period invoice, record an adjustment, or make any other correction that needs its own balanced entry.
Before You Start
Only manually created journal entries can be edited or deleted. Entries generated automatically by DoorSpot (from invoices, payments, and other system activity) cannot be changed directly — if one needs correcting, record a new adjusting entry instead.
Every entry must balance — total debits must equal total credits — before it can be saved.
This feature is available to admin users.
Create a Journal Entry
Go to Financials → General Ledger and open the journal entry drawer.
Add a line for each account affected: choose the account, the amount, and whether it's a debit or credit. Add as many lines as you need — a journal entry isn't limited to two.
Set the date and add a memo describing the reason for the entry.
Watch the running debit/credit total at the bottom of the drawer — it must reach zero before Save is enabled.
Edit or Delete a Manual Entry
Open the entry from the General Ledger and choose Edit or Delete. Deleting a manual entry doesn't erase it — DoorSpot posts an offsetting (counter) entry instead, so the original stays visible and your audit trail stays intact.
Entries DoorSpot created automatically don't have an Edit or Delete option. To correct one, create a new manual journal entry instead.
